ALP Reimbursement
We’re excited to have you at the ALP this year. Please review carefully CUPA-HR’s reimbursement policies.
Chapter Leaders: Covered ALP Expenses
- Travel Expenses
- Airfare – Airfare is reimbursable up to $550. Baggage fees, travel insurance and airport parking are not reimbursable.
- Mileage – If you choose to drive your personal car to Kansas City, mileage is reimbursable at $0.67 per mile, up to the amount of a three-weeks-in-advance, restricted coach fare or $550, whichever is less. CUPA-HR does not reimburse parking expenses.
- Accommodations – CUPA-HR reserves and pays for your accommodations at the conference hotel for your designated nights.
- Conference Meals – CUPA-HR provides attendees who arrive in time (by 6:00 p.m. CDT) with dinner July 17 and provides all attendees with breakfast, lunch and dinner July 18-19.
Chapter Leaders: Reimbursement Procedures
To initiate the reimbursement process, please complete the ALP Reimbursement Form and attach the requested documents. If you want to receive your reimbursement via direct deposit, the form includes a place to upload a completed EFT Form.
Other Expenses. If you have expenses that are not eligible for reimbursement by CUPA-HR or exceed the allowable amount, your chapter may be able to cover those expenses. Please contact the treasurer for your chapter for more information.
Reimbursement Procedures for Other Attendees
A reimbursement form and instructions will be provided by your board treasurer or the CUPA-HR national office.
NEW - Travel Disruption Expenses (Kansas City)
The following policies apply to individuals who had to seek alternative arrangements to get home as a result of flight disruptions.
Cancelled Flight Refunds - If your flight was cancelled and not rebooked on the same airline, the cost of the original flight should have been credited back to your original form of payment. If you received an airline credit instead, please submit a request to the airline requesting that the refund be credited to your original form of payment. Federal rules require airlines to comply.
Additional Flight and/or Car Rental Reimbursement - CUPA-HR covers the cost of your flight to and from the ALP. If you rebooked on a flight that cost more than your original flight, CUPA-HR will cover the difference. If you had to rent a car as a result of the travel disruptions, CUPA-HR will reimburse you for the difference between your airline credit and the cost of the rental.
Car Mileage Reimbursement - CUPA-HR generally covers mileage if attendees drive their personal cars to and from the event. As a result of the travel disruptions, if someone had to drive a personal car to retrieve you from an airport that was not your original destination, the association will reimburse you for mileage at $0.67 per mile.
